Projects and recurring work
Set up projects and templated recurring jobs in Finye so quarterly BAS, annual returns and ASIC reviews generate themselves on schedule.
Most of the work an accounting practice does is predictable. Quarterly BAS, monthly bookkeeping, annual income tax returns, ASIC reviews and SMSF audits all come round on a known cycle. Finye lets you template that work once and have it generate automatically, so nothing falls through the cracks and your team always knows what is coming up. This guide walks through setting up projects and recurring work from scratch.
What projects and recurring work do
A project in Finye groups related work items together under a single client engagement, so you can see all the jobs that make up an annual compliance cycle in one place. Recurring work goes a step further: you build a template once, set a schedule, and Finye creates fresh work items on the boards automatically each period. The classic example is a quarterly BAS that needs to appear every three months without anyone remembering to raise it.
If you are still finding your way around Finye's task management, it is worth reading the work items and boards guide first, because projects and recurring jobs build on the same boards, statuses and assignees.
Step 1: Plan your recurring work before you build it
A little planning saves rework later. For each recurring job, decide:
- The client or client group it applies to, or whether it is a template you will reuse across many clients.
- The frequency (monthly, quarterly, annually) and the day it should be created relative to its due date.
- The board and status the new work item should land on so it enters your team's normal queue.
- The assignee or team responsible, and any checklist of steps the job always involves.
Step 2: Create a project for a client engagement
- Open the client record for the organisation or individual the work belongs to.
- Create a new project and give it a clear name, such as "FY26 Compliance" or "Monthly Bookkeeping".
- Add the work items that make up the engagement, or attach existing ones, so the whole cycle is visible in one view.
- Set assignees and due dates so each piece of work has an owner from the outset.
Grouping work this way means that when a principal opens the client, they can see at a glance what is in progress, what is waiting and what is done across the entire engagement.
Step 3: Build a recurring work template
Recurring jobs are where Finye saves the most time. To set one up:
- Create the template work item exactly as you want it to appear each period. Give it a title that reads well with the period it covers, for example "BAS – [Quarter]".
- Choose the board and the starting status so generated items slot into your normal workflow.
- Add the assignee or responsible team, the priority, and any checklist or subtasks that the job always involves, such as "Reconcile bank feeds", "Confirm GST coding" and "Lodge via ATO".
- Set the recurrence frequency – monthly for bookkeeping, quarterly for BAS, annually for income tax returns or ASIC reviews.
- Set how far ahead of the due date the item should be created, so the team has lead time to start the work rather than seeing it appear on the day it is due.
Once saved, Finye generates a new work item on schedule with all of those details pre-filled. Your staff pick it up from the board exactly as they would any other request.
Step 4: Connect recurring work to the compliance engine
Recurring work items handle the doing; the compliance engine handles the tracking of statutory deadlines. They work best together. Finye's compliance engine already tracks Australian lodgment obligations – BAS, IAS, income tax returns and ASIC reviews – with calculated due dates and a dashboard. Use your recurring jobs to carry out the work, and check the compliance dashboard to confirm every obligation has a matching job in progress. For a full walkthrough of obligations and due dates, see the compliance and lodgment deadlines guide.
Step 5: Review and adjust each cycle
Templates are not set and forget. At the end of each financial year, or when ATO rules or a client's circumstances change, revisit your recurring work:
- Confirm the frequency and lead time still suit how the team actually works.
- Update checklists to reflect any change in process, software or lodgment method.
- Reassign work where staff responsibilities have shifted.
- Pause or end recurrences for clients who have left, so you are not generating jobs nobody owns.
Tips for getting the most out of recurring work
- Use clear, dated titles so a board full of generated items is easy to scan and search.
- Lead time matters – generating a BAS a couple of weeks before it is due gives staff room to chase missing records from the client portal.
- Keep checklists tight – the standard steps every time, not a wishlist, so the job stays quick to complete.
- Pair with email-to-ticket so ad hoc client requests sit alongside scheduled work on the same boards.
With projects grouping each engagement and recurring templates generating the routine jobs, your practice's compliance calendar largely runs itself. Staff spend their time doing the work rather than remembering to create it, and principals get a clear view of where every cycle stands. When you are ready, set up your first recurring job and let Finye take care of the schedule.
