Create a self-filling job template
Build reusable templates with checklists and fields that populate automatically every time you start a job.
Self-filling job templates turn your standard procedures into repeatable jobs. Instead of recreating the same checklist for every client, you define it once and Finye applies it automatically, complete with steps, fields and structure.
Build the template
- Open Settings → Templates (or the Templates area of your board).
- Create a new template and give it a clear name, such as Quarterly BAS.
- Add a checklist of the steps required to complete the work.
- Add any custom fields you want captured, like period or amount.
- Set defaults for owner, list or due-date behaviour, then save.
Make it self-filling
The power of templates is that fields populate themselves when a job is created. Map client details, dates and service information so each new job arrives partly complete. Combined with recurring jobs, this means a fully structured, ready-to-work job appears on schedule with no manual setup.
Keep checklists practical
- Break work into clear, tickable steps a colleague can follow.
- Order steps in the sequence they are actually done.
- Use custom fields for data you report on later.
Apply and refine
Use the template whenever you start the matching work, then watch how your team uses it. If steps are routinely skipped or added, update the template so it reflects your real process. Improvements flow to future jobs while existing jobs stay as they are.
Templates also keep quality consistent across the team, so a job done by a new starter follows the same standard as one done by a partner.
Tip: Start by templating your highest-volume job type first; the time saved there pays back the setup effort fastest.
