Client intake and onboarding forms
Share a branded online intake form so new clients register themselves and the job opens automatically — with returning clients pre-filled and sensitive details handled safely.
Onboarding a new client usually means a scramble of emails, a blank spreadsheet and a lot of back-and-forth to collect the same details you ask everyone. Finye's intake forms replace that with a branded online form: the client fills it in once, and Finye registers them and opens the job for you — no re-keying.
Choose a form template
Finye ships ready-made intake templates for the work practices onboard most often, so you can start from a sensible structure rather than a blank page:
- Individual tax return — personal details, income sources and deductions.
- Company — entity details, ABN/ACN, directors and contacts.
- Trust — trust and trustee details, beneficiaries.
- SMSF — fund details, members and trustees.
Each template captures the right fields for that entity type, including the identifying details you need to open the file correctly.
Share your form
- Open the Client forms area and pick the template you want to use.
- Confirm your workspace branding so the form carries your logo and colours.
- Copy the form's public link (each form has its own
/forms/… address). - Share it — email it to a prospect, add it to your website, or include it in your engagement emails.
The form is a public, secure page, so clients do not need a login to complete it. Because it is branded, the experience looks unmistakably like your firm from the first click.
What new and returning clients see
New clients simply fill in the form. When they submit, Finye creates a unified client record — an individual or an organisation, with the right entity type — and opens the matching job so the work is ready to start.
Returning clients can verify themselves with a one-time code sent by SMS or email. Once verified, Finye pre-fills what it already knows about them, so they only confirm or update what has changed instead of typing everything again.
Sensitive details stay protected
Intake forms often collect sensitive information such as a tax file number. Finye stores these fields securely and keeps them hidden in the review screen until a staff member chooses to reveal them, so private data is not left sitting in plain sight or scattered across inboxes.
Review submissions and accept
Completed forms land in your intake inbox rather than going live automatically, so nothing enters your client list without a check:
- Open the intake inbox to see new submissions.
- Review the details, revealing any sensitive fields only when you need them.
- Accept the submission to create the client and open the job, or decline it if it is not a fit.
On acceptance, the client record and its job are created together and connected to your usual boards and workflow, so you move straight into doing the work rather than setting up records.
Make onboarding a repeatable step
- Keep a form link handy in your email signature and proposals so prospects can self-onboard.
- Pair intake with engagement letters and e-signing so a new client is signed and set up in one flow.
- Use the returning-client verification each new financial year so existing clients refresh their own details.
Turning intake into a single shareable link means every new client starts the same clean, complete way — and your team skips the manual data entry entirely.
Tip: Send returning clients their form at the start of the season; pre-filled details make it a two-minute confirmation for them and a fully populated file for you.
