Finye vs Xero Practice Manager
Established practice management from Xero, or an all-in-one client service desk built for how accounting firms work today.
Xero Practice Manager (XPM) is a capable, well-established practice management tool. For firms already deep in the Xero ecosystem, it covers the core jobs of running a practice: client records, job and workflow tracking, time and WIP, billing, and reporting. If your firm already runs on Xero and you mainly need workflow and billing tied to it, XPM is a sensible, proven choice.
Finye approaches the same problem from a different angle. Rather than starting from ledger and billing, Finye starts from the client relationship and the day-to-day flow of requests and work. It combines a client service desk (work items on kanban and list boards, with email-to-ticket, comments, checklists and subtasks) with practice management, a client portal, invoicing, an Australian compliance engine, and metered AI features in one platform.
This page is a fair comparison. Where Finye does something differently, we say so. Where XPM genuinely has a capability, we mark it. The right tool depends on how your practice prefers to work day to day.
Both Finye and Xero Practice Manager aim to help an accounting or bookkeeping firm see its clients, track its work, and get paid. The difference is mostly in shape and starting point.
Where the two tools start
XPM grew up as practice management inside the Xero family. Its strengths are familiar to firms that already live in Xero: a single client list shared with Xero Tax and Xero Ledger, job templates, time and WIP, and invoicing that flows through to the rest of the Xero stack. If most of your team already works in Xero every day, that continuity is real and worth weighting heavily.
Finye starts from the client relationship and the requests that come with it. The core surface is a client service desk where every client request or recurring job is a work item on a board. You get kanban and list views, status workflows, priorities, assignees, comments, attachments, checklists and subtasks. Inbound client emails become work items automatically, so nothing gets lost between an inbox and a job list. Around that desk, Finye adds the rest of what a practice needs.
What Finye brings together
Finye's pitch is that the work, the client, and the money sit in one place:
- Client service desk: requests and jobs as tickets, with email-to-ticket, board and list views, and full collaboration on each item.
- Practice management: clients and contacts for companies, trusts, partnerships, sole traders and SMSFs, plus templated recurring work such as quarterly BAS.
- Client portal: clients log in to see their requests, upload documents, approve work and pay invoices.
- Invoicing and payments: build invoices, take payment via Stripe or Square, send reminders, and share a public pay page.
- Time, WIP and billing: staff rates, a WIP ledger, bill-from-WIP draft invoices and write-offs.
- Compliance engine: tracks Australian lodgment obligations and due dates (BAS, IAS, income tax returns, ASIC reviews) with a dashboard and a per-client view.
- Engagement letters and e-signing: generate letters, e-sign via Annature or DocuSign, and trigger post-sign automation.
- Document and PBC requests plus AML/KYC onboarding.
- AI with a metered credit wallet: ticket summaries, triage that suggests priority, assignee and category, reply and compose help, draft-a-work-item from a one-line brief, knowledge-base drafting and a dashboard summary.
It also keeps a two-way Xero sync of clients and contacts, so choosing Finye does not mean leaving Xero behind for the accounting ledger itself. You can read more in our guides.
Who should choose what
Choose Xero Practice Manager if your firm is committed to the Xero suite end to end, your workflow is well served by job and time tracking tied directly to Xero Tax and Xero Ledger, and you do not need a built-in client portal, service desk, or AI features as part of the same product.
Choose Finye if you want client requests, recurring work, a client portal, invoicing, Australian compliance tracking and AI assistance in a single platform, and you would rather manage day-to-day client work as a service desk than as a list of jobs. Finye still syncs clients and contacts with Xero, so it can sit alongside your existing ledger rather than replace it. Firms drowning in client emails, or those wanting clients to self-serve through a portal, tend to feel the difference most.
An honest note
XPM is mature and widely used, and its integration with the wider Xero product set is a genuine advantage we are not going to talk down. Finye is the better fit when the all-in-one approach (desk plus practice management plus portal plus invoicing plus compliance plus AI) matches how you want to run the practice. Some firms will value the deep Xero-native continuity more; others will value having everything in one place with less switching between tools.
